Housing regulations for Plopsa employees
1. GENERAL PROVISIONS
1.1.
The rules in this regulation apply to permanent or seasonal employees or student workers employed by Plopsa (hereinafter referred to as "staff members") who, during their employment, reside in one of the accommodations provided by Plopsa (including but not limited to: Plopsaland Base Camp, located at Duinhoekstraat 101, 8660 De Panne; Residence De Biekorf, located at Duinhoekstraat 15, 8660 De Panne; and the house located at Duinhoekstraat 35, 8660 De Panne).
Plopsa includes the following entities as employer: Plopsa NV, Plopsa Station NV, Plopsa Village NV, Plopsa Hotel NV, Plopsa SRL, Plopsaqua Hannut-Landen SRL, Plopsa BV, and Holiday Park GmbH.
1.2.
Accommodation is offered by Plopsa to its staff members at a rate of €8 per night for a shared room (i.e., several persons in one room) or €11 per night for a single room in one of Plopsa’s accommodations. For a stay in a tent at Plopsa Base Camp, a fee of €4 per night is payable by the staff member. The stated price per night excludes any additional costs or compensations, as mentioned further in this regulation.
1.3.
All staff members must respect decency and public order. Staff members must wear non-offensive and appropriate clothing in the shared areas of the accommodations (e.g., garden, terrace, dining area, kitchen, etc.). Staff members must be identifiable at all times.
1.4.
Each staff member is liable for any damage caused by their actions or omissions. Any damage shall give rise to compensation equivalent to the repair and/or replacement costs. All damage must be reported to the person responsible for the accommodation in which the staff member resides. Deliberately caused damage will result in removal from the accommodation (see section 10), without prejudice to any other rights of recourse available to Plopsa under the employment agreement concluded with the staff member.
1.5.
The accommodation is for personal use only and may not be shared with partners, family members, or other household members. The accommodation is intended for temporary use by staff members and may not be used as a permanent residence.
1.6.
In addition to the provisions of these house rules, the campsite regulations of the various Plopsa accommodations (where applicable) also apply to the use of the accommodations. In the event of a conflict between the provisions of the house rules and the campsite regulations, the provisions of these house rules shall prevail.
2. ORDER AND QUIET
2.1.
It is prohibited to harass other staff members or visitors of staff members and/or to obstruct or harass staff members of Plopsaland Base Camp or any other Plopsa accommodation in the performance of their duties.
2.2.
It is prohibited to show aggression or engage in any form of inappropriate or transgressive behavior toward other staff members or visitors of staff members, as well as toward staff members of Plopsaland Base Camp or any other Plopsa accommodation.
2.3.
The use of radios, TVs, speakers, other devices, or play equipment must not disturb other staff members residing in the accommodation. Sound systems may only be used inside the accommodation and must not disturb neighbors. General quiet hours apply from 10 p.m. onward.
2.4.
Parties and events with (loud) music that cause noise disturbance are strictly prohibited in the accommodations.
2.5.
Everyone is expected to respect the peace and greenery in and around the accommodation.
3. SAFETY AND HEALTH
3.1.
In the interest of safety, the following non-exhaustive list of actions is strictly prohibited:
- Smoking in any area of the accommodation or in other places where a smoking ban is posted. This prohibition also applies to electronic cigarettes.
- Excessive or abusive consumption of alcohol, as well as inciting others to (excessive) alcohol consumption.
- Bringing into or trading fireworks, weapons, knives, or other explosive materials within the accommodation.
- Bringing drugs into the accommodation and/or using or trading drugs inside the accommodation, as well as reporting to work under the influence of drugs, or attempting to incite others to use them.
- Engaging in any kind of commercial activity within the accommodation.
- Distributing or posting printed materials, flyers, or similar items, or conducting surveys without prior approval from Plopsa.
- Stealing or damaging property belonging to Plopsa, other residents, their visitors, or third parties.
- Committing acts of vandalism of any kind or participating in group misconduct on Plopsa premises.
- Giving speeches, conducting propaganda, collecting membership fees or donations, or distributing, exchanging, or selling goods free of charge on Plopsa property without prior written consent from Plopsa.
- Engaging in dangerous behavior that may endanger oneself or others.
- Launching or landing drones on or around Plopsa premises unless expressly and in writing authorized by Plopsa.
- Bringing persons of ill repute into the accommodation; any form of prostitution is strictly forbidden.
- Making campfires near the accommodation; barbecuing is not permitted.
- Bringing and/or using household or electrical appliances without prior authorization, including but not limited to: microwaves, hotplates, refrigerators, air conditioners, electric heaters, kettles, freezers, washing machines, tumble dryers, or any other device that entails significant energy consumption and/or a safety risk.
For accommodations located at Plopsaland Base Camp, the use or bringing of such appliances is strictly prohibited under all circumstances, regardless of any authorization.
4. VISITORS
4.1.
Staff members are permitted to receive visitors in the accommodation where they reside. Plopsa relies on the good judgment of each staff member to coordinate the number of visitors with the other residents of the accommodation, taking into account the available space. It is important that visitors do not cause inconvenience to other residents or disturb the peace and order in the accommodation. Consideration must be given to shared spaces, and colleagues’ privacy must be respected. If necessary, Plopsa reserves the right to intervene and take appropriate measures to ensure a harmonious living environment.
4.2.
Staff members are strictly prohibited from allowing visitors to stay overnight in the accommodation in which they reside, in order to safeguard the safety and privacy of all employees.
4.3.
Subletting of the accommodation where the staff member resides is strictly prohibited.
5. PETS
5.1.
For hygiene reasons, and to prevent allergic reactions or other health issues among employees, it is strictly forbidden to bring or keep pets in the accommodation.
6. SANITARY FACILITIES AND HYGIENE
6.1.
It is prohibited to relieve oneself in areas not designated for that purpose.
6.2.
Sanitary facilities must be left clean after use. Washbasins must be cleaned after use. Hair and razor blades must be disposed of in waste bins. It is prohibited to throw anything other than toilet paper into the toilets. Sanitary products such as pads and tampons must be disposed of in the designated bins.
6.3.
If staff members are staying at Plopsaland Base Camp and using the communal sanitary facilities, they must respect the opening hours of these facilities, which are determined solely by the person responsible for Plopsaland Base Camp.
7. ACCIDENTS AND EVACUATION
7.1.
In case of serious accidents or injuries, emergency services must be notified immediately, as well as the Plopsa representative responsible for the accommodation where the staff member resides.
7.2.
In case of fire, the instructions of the present Plopsa staff or law enforcement officers must be followed strictly and without discussion.
7.3.
If (part of) the accommodation is evacuated, it may not be re-entered without the permission of the Plopsa representative responsible for that accommodation.
8. VALUABLE ITEMS
8.1.
Each staff member is responsible for their own belongings. Plopsa cannot be held liable for loss or theft of (valuable) items. Plopsa is also not responsible for theft, damage, or accidents involving lost property.
8.2.
In case of loss of the accommodation access key, an administrative fee of €30.00 will be charged. Loss or theft of the access key must be reported immediately to the Plopsa representative responsible for the accommodation where the staff member resides.
9. UTILITIES
9.1.
Plopsa expects its staff members to use water and energy responsibly, in order to collectively contribute to environmental protection.
9.2.
Damage caused to utility lines or resulting from poor maintenance is the responsibility of the resident staff member.
9.3.
For safety reasons or in order to perform urgent repairs, the Plopsa representative responsible for the accommodation may, at any time, suspend the supply of utilities.
9.4.
It is strictly forbidden to open distribution boxes or other infrastructure and/or installations.
9.5.
Leaking taps must be repaired immediately. Staff members must notify the Plopsa representative as soon as a leak is detected.
10. FAILURE TO COMPLY WITH HOUSE RULES
10.1.
Staff members must comply with the house rules as set out in this regulation. In the event of non-compliance, Plopsa may take proportionate measures, such as but not limited to: a warning, temporary suspension of accommodation use, or termination of the right to use the accommodation — without prejudice to any other legal or contractual rights of Plopsa under the employee’s employment agreement.
10.2.
To ensure the safety of all staff members and to monitor compliance with these rules, the Plopsa representative responsible for the accommodation, or a person appointed by them, must have access to the accommodation. The Plopsa representative shall not access the accommodation at unreasonable times, except in exceptional circumstances.
10.3.
All staff members residing in Plopsa accommodations are required to strictly comply with these rules. The Plopsa representative of the accommodation may remove a staff member who breaches these rules, by means of a registered letter or bailiff’s notice served on the party concerned, without the need for a notice period and without any compensation being due.
10.4.
If immediate removal is deemed necessary at the discretion of the Plopsa representative, the representative may take the necessary measures to do so and, if required, involve the police. No appeal shall be possible against such decision.
